Request To Issue Invoice Overview For Barristers

How to create Tasks, Allowances, Disbursements, Request to issue Invoice & Request to chase Invoice workflow.

The guide and video below, will walk you through how to create Tasks, Allowances & Disbursements in order to use the Request To Issue Invoice feature.

All Matters that have been created by yourself or by your Clerking Team can be found in the Matters tab. You can then begin adding on your Tasks, Allowances & Disbursements. 

Create Tasks:

There are 3 area's you can create Tasks. From within a Matter, from the Quick Actions button and in the Tasks Tab. 

Within A Matter:

  1. Navigate to the "Matters" tab on the side bar. 
  2. Select the relevant "Matter".
  3. Click on the "Tasks" sub tab. 
  4. Select “New Task”.
  5. Enter in the necessary information.
  6. Enter in the duration manually or use the timer once it has been created. 
  7. Click “Create”.
  8. Locate the relevant Task and scroll all the way to the right hand side.
  9. Click on the ellipses to manually edit the Task duration OR click on the "Stopwatch Icon" to start the Timer for the existing Task. 

From Quick Actions:

  1. Click on the "Quick Actions" button at the top of the screen. 
  2. Select "Create Task" or "Start Timer Immediately"
  3. Fill in the necessary information.
  4. Click "Create"
  5. If you selected "Start Timer Immediately", once you create it, the Timer will continue to run at the top of the screen until you pause/stop it.
  6. You can still locate the relevant Task/s within a Matter or within the main Tasks tab. If you scroll to the right hand side of the relevant Task, you will still find the ellipses to edit the duration manually as well as the "Stopwatch icon" to use the Timer. 

Main Tasks Tab:

  1. Navigate to the main "Tasks" tab on the side panel.
  2. Select "Create Task" or "Start Timer".
  3. Fill in the necessary information.
  4. Click "Create"
  5. If you selected "Start Timer Immediately", once you create it, the Timer will continue to run at the top of the screen until you pause/stop it.
  6. You can still locate the relevant Task/s within a Matter or within the main Tasks tab. If you scroll to the right hand side of the relevant Task, you will still find the ellipses to edit the duration manually as well as the "Stopwatch icon" to use the Timer. 

Create Allowances:

  1. Navigate to the "Matters" tab on the side bar. 
  2. Select the relevant "Matter".
  3. Click on the "Allowances" sub tab. 
  4. Select “New Allowance".
  5. Enter in the necessary information.
  6. Click “Create”.

Create Disbursements:

  1. Navigate to the "Matters" tab on the side bar. 
  2. Select the relevant "Matter".
  3. Click on the "Disbursements" sub tab. 
  4. Select “New Disbursement".
  5. Enter in the necessary information.
  6. Click “Create”.

Request to Issue Invoice:

The guide will walk you through how to request to issue an Invoice and send a notification to your Clerks advising them to bill a Matter. 

  1. Click on the “Quick Actions” button at the top of the screen. 
  2. Select "Request To Issue Invoice".
  3. This will bring up essentially an Unbilled Work report detailing the name of the Matter and the Unbilled Work value within each Matter. 
  4. You have 2 options here. 
  5. Click "Request Invoice" inline with the relevant Matter to send a generic notification to your clerks to the bill the Matter. It will automatically include all unbilled Tasks/Allowances/Disbursements within that Matter. Alternatively, click "Edit" inline with the relevant Matter to provide the clerks with more information.
  6. Once you have clicked Edit,  follow each stage of the graph that appears.
  7. Select the relevant Tasks you want to be included in the Invoice. Should you notice any errors in the Tasks, click on the ellipses and select "Edit" to make any amendments. 
  8. Follow the same process for Allowances and Disbursements.
  9. In the Notes section provide your clerks with any notes regarding billing this Matter. Click "Upload Document" to pass any documents onto your clerks. This could include timesheets, copies of the receipts of your Expenses etc etc. 
  10. In the Summary section, you will see a breakdown of all the Tasks, Allowances and Expenses to be included in the Invoice as well as the relevant Totals. 
  11. Select "Send Request". This will then send a more detailed notification to your clerks and request for them to issue an Invoice for this Matter. 

Request To Chase Invoice:

The guide will walk you through how to request to chase an Invoice and send a notification to your Clerks advising them to chase an overdue Invoice/s on a Matter. 

  1. Click on the “Quick Actions” button at the top of the screen. 
  2. Select "Request To Chase Invoice".
  3. This will bring up a report detailing the name of the Matter, the associated Firm, longest days overdue and total overdue amount. 
  4. You have 2 options here. 
  5. Click "Send Request" inline with the relevant Matter to send a generic notification to your clerks to chase all the overdue Invoices within the Matter. Alternatively, click "Edit" inline with the relevant Matter to provide the clerks with more information.
  6. Once you have clicked Edit,  you will see each overdue invoice within the Matter, the outstanding amount and how many days overdue it is. 
  7. Select which overdue Invoices you want your clerks to chase. 
  8. In the Notes section provide your clerks with any notes regarding chasing these overdue Invoices. 
  9. Select "Send Request". This will then send a more detailed notification to your clerks and request for them to chase the overdue Invoices for this Matter.
