CLERK | How To Debt Chase

  1. Navigate to the  “Debt Chasing” tab on the side bar. 

  2. You can adjust the views and groupings by selecting "Business" or "Individual" on the top left and by selecting "Group by Barrister" or "Group by Matter".

  3. The default view for the Debt Chasing tab shows every Invoice that has been sent out, however you can adjust this by clicking "Filters" and then clicking "Days Overdue"

  4. You can then select what stage of Invoices you want to chase. "Current" refers to invoices that have been sent out but are not yet overdue and still fall within the 30 day pay period for example. You can select multiple options in this dropdown. 

  5. Click "Apply".

  6. Once you are happy with your selections, it's now time to chase. 

  7. To select the Invoices you want to chase, click the tick boxes on the right hand side. 

  8. Click "Chase".

  9. In the "Download as" field select the type of document you want to produce. "Statement" refers to a statement of outstanding fees whereas "Zip File" refers to reproducing the actual physical invoices. 

  10. Click "Confirm".

  11. This will automatically divert you to the "Downloads" sub tab. 

  12. Click on the ellipses in line with the documents you just generated. 

  13. If you are chasing one Firm, click on the option "Send Email". This will then send an email to the relevant person, with the templated email subject and body and attach either the statement or Zip file depending on which document you generated. 

  14. If you are chasing multiple Firms, click on the option "View".

  15. This will then show you the name of each Firm and the number of outstanding invoices associated with each.

  16. Click on the tick boxes on the right hands to confirm you want to chase.

  17. Click "Send Email".

  18. This will then send an email to the relevant person, with your templated email subject and body and attach either the statement or Zip file depending on which document you generated.

  19. Whether you chase one Firm or Multiple Firms, it will update the last chased/last statement dates on the Debt Chasing tab main screen as well as log a note and activity log against the relevant Invoices.
